FAQ What are IMAP, POP3 and SMTP?

SMTP, POP3 and IMAP are TCP/IP protocols used for mail delivery. Each protocol is a specific set of communication rules between computers.

SMTP(Simple Mail Transfer Protocol) is used when email is delivered from an email client(e.g. Outlook) to an email server or when email is delivered from one email server to another. SMTP uses port 25.

POP3 (Post Office Protocol) allows an email client to download an email from an email server. The POP3 protocol is simple and does not offer many features except for download. Its design assumes that the email client downloads all available email from the server, deletes them from the server and then disconnects. POP3 normally uses port 110. If you want to check your email using several email clients, POP3 is not advised.

IMAP (Internet Message Access Protocol) shares many similar features with POP3. It is also a protocol that an email client can use to download email from an email server. However, IMAP protocol is designed to let users keep their email on the server. IMAP requires more disk space on the server and more CPU resources than POP3, as all emails are stored on the server. IMAP normally uses port 143.

Our mail server delivers the email to Outlook's mail server, mail.outlook.com using SMTP. John's email client (Thunderbird) downloads the email from mail.outlook.com to his computer using the POP3 protocol (or IMAP).

Email Backup

FAQ What is Email Backup?

Email Backup is a mail queueing system. Our server accepts email destined for your domain. We will hold all emails for you if we cannot deliver it to your mail server(offline due to maintenance or internet downtime). When your mail server comes back online, the emails will be dequeued from our system and delivered to you. We also perform SPAM filtering on Email Backup service.

FAQ My email server went down and now has just come back online, how long does it take to receive the emails queued in your server?

Our mail servers run on a schedule where they will attempt to deliver your email at the next scheduled interval. This interval is normally 10 minutes. If your mail server has been offline for several days the interval may be longer before your messages are de-queued from our mail server.

FAQ I do not have Email Backup service, what happens to the emails when the email server is down?

There are 2 categories of e-mails based on their direction of flow: Incoming and Outgoing. In both directions to avoid the problems due to downtime of any server, there is a retry interval which can be from few minutes or an hour or so depending on how the server is configured . There is also maximum retry duration which is normally 12-24 hours and if after that time sending server is unable to send the e-mail, it sends the sender an undeliverable report.

If you are the sender of the e-mail
If you do not receive an undeliverable report, it means the message is not lost and you do not need to resend the message.

If you are the receiver of the e-mail
In case you have not received an e-mail that you are supposed to receive, you might receive it with a delay or if the maximum retry duration has already expired and the sender has got the undeliverable report, sender is supposed to send you the e-mail again.
